Your Committee

Committee Structure

The Club is managed by an elected Committee, made up of volunteer members who bring experience, integrity, and dedication to the breed.

The Committee consists of:

  • Chair – Provides leadership, chairs meetings, and ensures the Club operates in line with its objectives and constitution

  • Secretary – Manages administration, correspondence, records, and governance processes

  • Treasurer – Oversees finances, accounts, and financial reporting

  • Committee Members – Support decision-making, member engagement, events, welfare initiatives, and breed development

Committee members are elected annually by the membership at the Annual General Meeting (AGM).

Decision-Making Process

The Committee works collectively to make decisions in a fair and balanced way.

  • Decisions are made at formally convened Committee meetings

  • A quorum (5 members) must be present for decisions to be valid

  • Each Committee member has one vote

  • The Chair has a casting vote in the event of a tie

  • Conflicts of interest must be declared and managed appropriately

For more complex matters (such as complaints or disciplinary issues), the Committee may appoint a sub-committee or independent panel to ensure fairness and impartiality.

Member Involvement & Voting

The Club is accountable to its members.

All eligible members have the right to:

  • Vote at the Annual General Meeting (AGM)

  • Stand for election to the Committee

  • Propose motions or rule changes

  • Participate in Extraordinary General Meetings (EGMs) where required

Each eligible member has one vote, ensuring fairness and equality.

Annual General Meeting (AGM)

The AGM is a key part of the Club’s governance and is held once per year.

At the AGM:

  • The Committee presents an annual report and accounts

  • Members elect the Committee for the coming year

  • Any proposed rule changes are discussed and voted on

  • Members can raise questions and contribute to the direction of the Club

Notice of the AGM and all relevant documents are provided to members in advance.

Extraordinary General Meetings (EGMs)

An Extraordinary General Meeting may be called:

  • By the Committee, or

  • By a defined proportion of the membership (as set out in the Constitution)

EGMs allow members to vote on urgent or significant matters between AGMs.

Transparency & Accountability

To ensure strong governance:

  • Accurate minutes and records are kept

  • Annual financial accounts are prepared and reviewed

  • Policies and procedures are published and accessible

  • Decisions are made in line with the Club Constitution and Code of Ethics

The Committee is accountable to both its members and the GCCF, ensuring that the Club operates with professionalism and integrity.
